District Reporting: Accessing REP and Other Reports

About

The Center for Educational Performance and Information (CEPI) has designated Michigan Virtual as an approved third-party provider of online education services. As a result, all Local Education Agencies (LEA), Public School Academies (PSA), and Intermediate School Districts (ISD) are required to report Michigan Virtual instructors through the Registry of Educational Personnel (REP) and, where applicable, in the Nonpublic School Personnel Report (NPSPR).

These reports contain confidential personnel data and are intended solely for CEPI compliance. Access to these reports is restricted to authorized District Representatives who have an active MiLogin account connected to their LEA, PSA, ISD, or nonpublic school.

Important: These files are not accessible to teachers, counselors, or building principals. Additional Teacher Student Data Link (TSDL) reports that include teacher PICs are available to Affiliation Users.

Before access is granted, Michigan Virtual verifies the identity of the requestor using the district’s official website and may contact HR or superintendent personnel for confirmation. Each access request must be submitted separately per individual.

Once approved, users will log in to the SLP using Multi-Factor Authentication (MFA) to securely access the Reports page and download the necessary data.

Instruction

Accessing Reports in the SLP

To locate and run reports in the Student Learning Portal:

  1. Select the Reports tab from the top navigation menu.
  2. From the left-hand menu, choose Run Report under the Dynamic Reports section.
    The Reports page is shown with an arrow pointing to the Reports option in the top menu and to Run Report in the left menu.
  3. Use the "Select a report" drop-down menu to choose the desired report.
  4. Click Run Report to generate the data. The results will display in a table below.

Once generated, District Representatives may proceed with CEPI upload procedures for either Hand Entry or Bulk Upload, depending on the version of the report used.


2024-2025 REP Report Options

Each REP report comes in two versions: Bulk Upload and Hand Enter.

ReportDescription
District Report: REP Full Year Since Summer (8/1–7/31)This comprehensive report includes all instructors active since August 1, covering the full reporting year. It includes both currently active and exited Michigan Virtual instructors. It is appropriate for use with the Fall REP Submission (due December 1). District Representatives should note the date the report is run.
District Report: REP Only Changes in the Last 30 Days (8/1–7/31)This report displays only new starts and exits within the last 30 days. Unlike the previous version used in earlier years, it no longer includes individuals who began before that period. If no changes have occurred recently, the report may return no results.
District Report: REP Since a Specific Date (8/1–7/31)This version allows the user to specify a custom start date. It includes all instructors who have been active or exited since that date. For the Spring REP Submission, this report should be run using the same date used for the Fall submission to avoid duplication. To ensure all teachers are exited by June 30, District Representatives should run a 30-day report between June 25–30 if submitting before all Spring courses have ended.

Additional District Reports for 2024-2025

ReportDescription
District Report: SCED Codes and Course Details (8/1–7/31)Provides course-level data for the current academic year (Fall 2024–Summer 2025). Does not include Summer 2024 data. This is a complete list of all courses in which the district currently has active enrollments.
District Report: Student and Mentor Associations (8/1–7/31)Lists all students and their assigned mentors for the school year. This can assist in identifying students who may not yet be monitored.
District Report: Teacher Info for Your District (8/1–7/31)Includes all relevant information for teachers affiliated with the district, including PIC numbers. This data supports syncing with district SIS platforms.
TSDL/MSDL Full Year – Current School Year (9/1–8/31)Available to both District Representatives and Affiliation Users. This report includes teacher PICs and covers Fall 2024, Spring 2025, and Summer 2025 courses. Beginning September 1, the report reflects the full academic year.

Historical & Collaborative Reports

ReportDescription
District Report: REP – The Previous Year (Export to Excel)Used for auditing and exiting any instructors who were not removed in June. As the SLP does not track individual report runs, districts must use this report to reconcile last year’s data. This version is not eligible for bulk upload and may include administrative users.
District Report: REP of Collaborative Partner (CP) Teachers (Export to Excel)Collaborative Partner teachers are not reported by Michigan Virtual and are not included in MV REP files. District Representatives must request data for CP teachers directly from the CP administrator if those instructors must be included in CEPI reporting. However, both Michigan Virtual and CP instructors are listed in the "District Report: Teacher Info for Your District SIS (8/1-7/31)" report.
